The People & Culture team at Vitamin Well Group supports a fast-paced, international organisation built around our core brands: Vitamin Well, NOCCO, and Barebells. As we continue to grow across markets, we focus on building scalable people processes while supporting local teams with structure, systems, and compliance. Our function works closely with Finance, local leaders, and external partners to ensure smooth daily operations and enable long-term development.
About the role
We are looking for a People Operations Specialist to take ownership of our HR system, HiBob, and help us maintain, optimise and continuously improve scalable, data-driven HR processes across our markets.
This is a role for someone who enjoys working at the intersection of people, systems and data, and who is motivated by creating structure, improving ways of working and finding smarter solutions. You are also genuinely interested in technical developments within the HR field, including AI, and curious about how new tools and technology can be used to improve processes, insights and the employee experience.
You will be our go-to person for HRIS, making sure our data is accurate, our systems run smoothly and our processes are built to scale as we continue to grow.
In this role, you will combine hands-on system work with continuous improvement. You will spend time developing and optimizing our HRIS, while also supporting key HR processes across the employee lifecycle, including areas such as performance and compensation & benefits.
The role has a global scope and reports to the Chief People & Culture Officer.
Your responsibilities will include:
HRIS ownership & development: Own and develop our HRIS (HiBob), ensuring it supports the organisation as we scale
Data quality & governance: Ensure accurate, well-structured HR data through strong governance and ways of working
Processes & automation: Build and improve workflows, processes and automation within the system
Integrations & systems: Manage integrations between HRIS and other systems (such as payroll and finance)
HR support & enablement: Support HR, managers and employees in using the system effectively
Compensation, data & lifecycle processes: Contribute to compensation & benefits processes, HR reporting and key employee lifecycle processes
Who you are
You have a relevant academic background within Human Resources or a related field, and around 1–3 years of experience within HR Operations and HRIS, or a similar area, with a strong interest in how HR can be improved through systems, data and smart processes.
You are confident and experienced in using HRIS, and you enjoy working with data - from ensuring accuracy to identifying patterns and insights.

Have hands-on experience working with an HRIS - for example configuration, maintenance, training or development capacity (HiBob is a plus)
Have a good understanding of HR processes across the employee lifecycle, such as onboarding, offboarding, performance and compensation
Are structured, detail-oriented and comfortable managing sensitive information
Enjoy improving processes, creating structure, solving problems and finding smarter ways of working
Build trust easily and enjoy working closely with stakeholders across the organization
Thrive in a fast-paced, international environment where priorities may shift and collaboration across markets is key
Communicate fluently in both Swedish and English, in a professional context
Are a hands-on, low-prestige doer who takes initiative and gets things done
