ROLE SUMMARY
The Vitamin Well USA Office Manager will be responsible for overseeing the daily operations for our office across a variety of needs. We are looking for this role to be the first point of contact our team and office visitors to ensure a helpful, proactive, and positive environment.
CORE RESPONSIBILITIES INCLUDE:
Office Management:
- Open the office at 8 am every day, to ensure office and reception areas are neat and prepped prior to the start of the day.
- Act as the office’s “front of house”, greeting visitors, accepting packages and communicating guest arrivals to team members. As the first point of contact for people coming to the office, the office manager is expected to be welcoming, positive, helpful and engaged
- Manage ordering office supplies and kitchen items, ensuring inventory and products are properly stocked
- Liaise with facility management vendors, including cleaning, catering and security services
- Oversee distribution of office/ gate keys: distribute to new team members and collect from exiting employees.
- Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Identify opportunities for process and office management improvements, and design and implement new systems
Event Planning & Travel Support:
- Support with planning and execution of events as needed including, but not limited to: restaurant bookings, global visits, plan team events, holiday parties, etc.
- Support CEO with travel and other coordination needs (booking meetings, lunches, etc.)
Team Meeting and Communications Management:
- Manage calendar invite of weekly team calls
- Organize meeting/ conference rooms as needed (stock with water, snacks, order breakfast and lunches when requested, etc),
- Add new hires to all-company Microsoft Teams channels
- Manage public screens (example content on screens in reception), manage messaging on Vestaboard
EXPERIENCE AND SKILLS DESIRED:
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
- Organization and the ability to multitask to complete a wide variety of tasks
- Flexibility to help them adjust to new tasks should company or office needs change
- Strong interpersonal skills to interact positively with all employees, guests and vendors
- Leadership ability to manage challenges and oversee projects independently
- Must be proficient with Microsoft Office Suite
- Attention to detail to ensure tasks are completed thoroughly and correctly
TRAVEL: light travel may be needed for company events, supply runs, etc. (Approx. 5%)
