The People & Culture team at Vitamin Well Group supports a fast-paced, international organisation built around our core brands Vitamin Well, NOCCO, and Barebells. As we grow across markets, we focus on building scalable people processes and supporting local teams with structure, systems, and compliance. Our function works closely with Finance, local leaders, and external partners to ensure smooth daily operations and long-term development.
About the role
We are looking for an Payroll Specialist to join our People & Culture team. This hybrid role combines ownership of payroll across several countries with hands-on support for day-to-day HR operations.
You will manage end-to-end payroll processes for Sweden, and coordinate with external providers in other markets. In parallel, you will support global HR administration to maintain accurate employee data in our HRIS (HiBob), ensure consistent documentation, and assist with internal reporting.
The role is both operational and collaborative, involving regular interaction with Finance, People Partners, and local teams. As we continue to grow, you will contribute to building scalable, compliant routines — and may support additional countries and systems development over time.
Your responsibilities will include:
PAYROLL MANAGEMENT
- Take ownership of the monthly payroll process: run it in-house for Sweden and manage coordination with external providers in the Nordics, the Netherlands, and Singapore.
- Prepare, review, and finalise payroll data in close collaboration with local partners and Finance.
- Act as the go-to person for payroll-related questions from employees and internal stakeholders.
- Contribute to the upcoming payroll system transition and help shape scalable payroll routines for future markets.
HR ADMINISTRATION
- Support core HR administration: contracts, onboarding, offboarding, and documentation.
- Maintain accurate employee data and documentation in our HRIS (HiBob), to ensure data quality and consistency.
- Assist with reporting, audits, and changes related to employment terms, compensation, and working hours.
- Collaborate with People Partners and Finance to ensure smooth workflows and aligned operations.

You will likely bring:
- At least 3 years of experience in managing the full payroll process for Sweden. Experience working with external payroll providers to coordinate payroll in other countries is a strong advantage, along with a solid understanding of HR administration.
- Knowledge of Nordic labour laws — particularly Sweden — with experience from additional markets considered a plus.
- Experience working with payroll systems and HRIS platforms (e.g. HiBob); familiarity with external payroll vendors is a benefit.
- A detail-oriented and structured approach, with the ability to prioritise and adapt in a fast-paced environment.
- Fluency in both English and Swedish.
