With a strong focus on data accuracy and a growing global presence, Vitamin Well Group is now looking for a Data & Launch Coordinator to join the HQ team in Stockholm. In this role, you’ll work closely with our Master Data Specialist and Launch Coordinator to support and improve the quality of our product data across 40+ markets.

About the role

As our new Data & Launch Coordinator, you will play a key part in developing and improving our data and launch processes. The role involves close collaboration with departments across the organization – including Operations, Product Development, Supply Chain, Sales and IT – to ensure data accuracy and efficient product information workflows.

You will support daily operations, handle various administrative tasks, and contribute to our continued growth. The role reports to the Head of Operations, International Markets, and is based at our office in Stockholm.

Key responsibilities

• Process development: Support the development and maintenance of efficient processes in our Product Information Management (PIM) system and PLM tool (Monday), ensuring smooth operations.
• Data quality assurance: Ensure the correct administration and quality assurance of product data in our ERP (Dynamics 365), PLM (Monday) and PIM system, across all categories and markets.
• Product information coordination: Distribute and manage product data to customers and stakeholders, locally and globally, with accuracy and timeliness.
• System administration: Support end-users by providing guidance and training in our systems (ERP, PIM, PLM), and contribute to increased efficiency and user proficiency.
• Launch support: Assist in the coordination of product launches across new and existing markets, ensuring alignment with timelines and requirements.
• Administrative support: Perform various administrative tasks, including documentation and communication, to support the team’s daily operations and overall efficiency.

Who are you

You have some prior experience in a similar role or a degree in a relevant field - and feel comfortable working in ERP systems like Microsoft Dynamics 365. You approach your work with a structured and solution-oriented mindset, and you’re confident navigating both independent tasks and collaborative projects.

With a sharp eye for detail, you take pride in maintaining accurate product data and managing administrative tasks with precision. You enjoy working with systems, are quick to learn new tools, and take ownership of your responsibilities. You’re comfortable in cross-functional settings and contribute to a high standard of operational support. With a proactive attitude and genuine motivation, you contribute to daily operations and continuously look for ways to improve processes and efficiency.

To succeed in this role, we believe that you bring:

• Technical skills - Familiarity with ERP systems such as Microsoft Dynamics 365, strong skills in Excel. Experience with PIM systems (e.g., Inriver) and PLM tools (e.g., Monday) is a plus.
• Attention to detail - Accuracy in product data and confidence in handling administrative tasks.
• Language proficiency - Fluent in both Swedish and English, with excellent communication skills.
• Collaboration - A team player who communicates well across departments.
• Drive and motivation - Proactive and committed to supporting daily operations and continuous improvement.
