With Vitamin Well, Barebells and NOCCO expanding in the market, we are forming a local team covering sales, finance, marketing and operations to drive that growth. The role as Logistics & Customer Service Coordinator – Benelux
Vitamin Well Group is expanding to the Benelux region, and to support this, we are looking for a Logistics & Customer Service Coordinator who thrives in a fast-paced environment and is passionate about delivering excellent service. This is a hands-on role where precision, agility, and a proactive mindset are essential to succeed.
Working closely with Sales, Logistics, and Finance, you will manage customer orders across both B2B and D2C channels, ensuring smooth execution and high service levels. From day one, you will take ownership of order handling and customer inquiries, coordinating processes across teams to secure seamless operations.
You will collaborate closely with our Swedish HQ to align on best practices, share insights, and ensure consistency in processes across markets. Over time, you will have the opportunity to broaden your responsibilities – for example supporting order management development, conducting stock-level analyses, and driving improvements that make our customer service function even more agile and effective. The role is based at our Benelux headquarters in Amsterdam, reporting to the Operations Manager.
In short, your responsibilities will be to:
- Order management: Process and manage orders from receipt to delivery, ensure correct pricing, issue invoices, maintain stock reconciliation, and secure on-time delivery.
- Customer service: Handle customer and consumer inquiries, resolve issues promptly, manage complaints, and ensure high service satisfaction levels.
- Logistics coordination: Collaborate with 3PL providers, transport partners, and sales teams to optimize order fulfillment.
- Inventory management: Monitor and maintain accurate stock levels, preventing stockouts or surpluses.
- Process and system alignment: Work closely with HQ to align on best practices, coordinate on improvements, and support reporting accuracy.
- Continuous improvement: Identify opportunities to improve processes, reporting, and collaboration with both local and international teams.

Who you are

Essential skills to succeed
- 1-2 years of experience in customer service, order management, or a similar role.
- Hands-on experience working with ERP systems and order management tools.
- Exceptional attention to detail and a structured approach to problem-solving.
- Strong analytical ability and confidence in working with digital tools and systems.
- Ability to perform at high pace while maintaining accuracy.
- Excellent communication skills and a proactive, solution-oriented approach.
- Fluency in Dutch or French, and English.
